Descriptif du poste : 


• Ensure that all CI financial transactions have supporting documents and follow CI-New Caledonia Operations Manual
• Enters all day to day financial transactions information in Business World system as required
• Prepares payment requests and travel reimbursements following CI-New Caledonia Operations Manual and CI policies and procedures
• Analyses and prepares reclass and general journal entries.
• Prepares financial and operational reporting requirements.
• Generate reports and related analysis as needed
• Maintains the petty cash for the office and disburses petty cash payments in accordance with Operations Manual
• Create and upload documents in Business World
• Assists in creating and uploading project documents in Business World.
• Assists in project proposal budgeting and in obtaining necessary project proposal approvals following CI policies and procedures
• Undertakes purchase of office supplies, equipment and services following CI New Caledonia Operations Manual
• Support team members in cars and other assets maintenance

Operational, Administration, IT and Logistics
• Files and archives all relevant, administrative, contractual, personnel, technical and programmatic documentation. Ensure that all required documents have also been uploaded in Business World.
• Manages all staff travel arrangements in accordance with the CI New Caledonia Operations Manual. This includes flights purchase, per diem requests preparations
• Handles logistical arrangements for all meetings, workshops, trainings and field activities.
• Undertakes procurement as needed.
• Oversees IT maintenance, in coordination with IT specialized staff and providers.
• Undertakes office and staff support duties as required, including financial reconciliations and budgetary requirements
• Liaises with the payroll provider for any staff leaves and other payroll related matters.

Human Resources and communication support:
• Acts as focal person for Human Resources, coordinating with Asia-Pacific HR business partner as necessary.
• Supports staff in navigating CI People, setting individual and professional goals & performance assessment process.
• Assists staff understand CI policies and procedures
• Participates in developing and maintaining a collaborative environment.
• Maintains effective relationships with the program team
• Supports staff as necessary for shared efforts towards solutions and program efficiency
• Ensures personnel files in Business World are updated.
• Maintains accurate notes and actions from internal meetings and distribute / communicate follow-up items as appropriate.
• Liaises with all in-country CI staff & outside the country CI Staff as necessary.
• Assists the CI-New Caledonia Program Director in developing a communications plan and in implementing the communications plan.
• Performs other related duties as assigned by the Program Director

Profil recherché: 

- Minimum of 2 years college or technical school studies in business/ Accounting or other related fields.
- At least 5 years relevant work experience required
- Proven experience in computerized accounting systems (such as Business World, Concur, Citrix…) and in handling bookkeeping and other financial transactions and reporting with utmost accuracy and attention to detail.
- Computer skills demonstrating competency in Microsoft Office Suite: Excel, MSWord, Outlook, Skype/Teams/What’sApp and Power Point.
- Strong organization, communication, teamwork and interpersonal skills.
- Fluent spoken and written English and French.
- Proven team player.

- Respond in an effective and efficient manner to requests in relation to job description,
- Able to travel as required for a few days in and out of Nouméa and the country to support the team in the field with partners and target audiences(<10% a year)
- Ability to mobilize punctually outside the hours and days normally worked for strategic needs.

- Valid driver’s license (Permis B)
